How do I order copies of materials from the Archives?

Readers are welcome to order digital copies of material for the purpose of private study either in person or remotely. If you wish to obtain copies, please refer to our reprographics regulations below. Please note that readers can make no further use of copied material without first seeking the permission of us and the copyright holder (if applicable).


Remote orders

We offer a remote reprographics service for ordering copies without visiting the Archives. Please allow ten working days for the completion of your order. Copies will be supplied electronically. Requests can be made by contacting us at archives@kcl.ac.uk.

We ask that readers ordering remotely supply us with two documents, in line with users visiting the archive in person: a reader registration form (pdf) and a reprographics form (pdf).

There is a £12.00 minimum charge for remote orders. This cost covers our staff retrieving the material, assessing its suitability for copying, and providing a quotation for copying the material.

Copying charges (including VAT)

  • Standard copying charge – 36p per page
  • Microform printouts – 36p per page
  • Unbound items of up to A3 size – £3.60 per image
  • Bound or unbound items over A3 size – £9.60 for first image in an order, £6 for subsequent images in the same order

Additional specific customer requirements, e.g. image enhancement, will attract an additional discretionary charge.

If the cost of copying a document comes to less than the £12.00 assessment charge, then no additional costs will be charged.

Reproduction fees (including VAT)

We operate the following outline scale of charges:

  • Single use, UK rights – £60 per image
  • Single use, world rights – £120 per image
  • Single use for broadcast, perpetual rights - £420 per image

Fees may be reduced or waived for non-profit customers, academic customers or small print runs, at our discretion. A higher fee may be charged for use in TV or film, depending on circumstances. Please contact Archives staff for more information.

All prices quoted include VAT. If your billing address is in a country exempt from VAT (most countries outside the UK, the European Union and the European Economic Area), the VAT will automatically be deducted at the checkout if you make payment via the e-store.


Reprographics regulations

Copy Service

All copying is carried out by staff. Requests for copying may be refused where there is a risk of damage, and some items may have to be copied using specialised equipment or techniques which will incur an additional charge. This is due to the rare and often irreplaceable nature of the material held by Archives. This includes, but is not limited to, tightly bound volumes, large or heavy volumes, volumes of particular age or rarity, documents of marked fragility, and photographs.

Digital photography

The use of handheld digital cameras (including mobile phone, laptop and tablet cameras) in the Archives Reading Room is allowed upon completion of a copyright declaration form (see Links & files section below) and is at the discretion of staff. Flash photography is not allowed, and requests to take photographs may be refused where there is a risk of damage to the item.

The use of tripod cameras may be permitted in special circumstances, with advance notice and at the discretion of staff. 

Microform printouts

Print-outs of published microforms may be made by readers themselves.
